Program Objectives

Under the Asian Neighbors Program Special Subject, "Preservation, Utilization, and Transmission of Indigenous Documents in Asia", the term "indigenous documents" applies to all handwritten materials chronicling the histories, customs, or worldviews of people in Asia. Under this Special Subject the program provides grant support for projects aimed at preserving, utilizing, and transmitting such documents.

Indigenous documents can be found throughout Asia, but in general they are not in very good condition and are not being fully utilized. Under this Special Subject the program solicits proposals from anywhere in Asia for projects concerned with indigenous documents, these irreplaceable records of our history that are in danger of being scattered and lost.

Recovering and illuminating indigenous documents that otherwise lie dormant in local communities can enable people to rediscover the wisdom of their local ancestors and encourage the development of a sense of local history that transcends conventional nation-centered historical views. Such efforts have the potential to provide us with a richer and more diverse sense of value.

Recent years have seen advances in digital information technology, the emergence of regional economies throughout Asia, and increasing regional integration. The Toyota Foundation hopes that by supporting efforts to preserve and utilize indigenous documents in a variety of ways, these grants will help the residents of communities where such documents are found to examine their own past and find emotional sustenance there, and that the content of these documents will spread well beyond their place of origin and be passed on to posterity as part of humanity's shared cultural inheritance.

Grant Framework

Grant amounts and total amount of grants

  • The total amount of grants available for fiscal 2010 is ¥30 million.
  • Grant amounts: Up to ¥5 million per project

Grant period

  • 1 year projects: November 1, 2010, to October 31, 2011
  • 2 years projects: November 1, 2010, to October 31, 2012

Selection of grants

  • Formal decisions on the awarding of grants will be made by the Toyota Foundation Board of Directors at meetings in the autumn of 2010, based on the selection committee's deliberations, which will take place during July and August.
  • Applicants will subsequently be notified of the award decisions in writing; notification may be delayed due to delays in mail deliveries.

Implementation of grants

  • Following the decision to award a grant, the Toyota Foundation and the project representative will exchange memorandums, on the basis of which the grant will be implemented.
  • The project representative will submit a progress report and a financial report during the grant period and a final report and other relevant documents at the conclusion of the grant period.

Indirect costs, general administrative costs

  • The grant does not cover the indirect costs of the organization to which the recipient is affiliated or general administrative costs ("overheads").

Eligibility

  • There are no restrictions based on nationality or affiliation.
  • Applicants are expected to have management abilities, including the ability to manage schedules, ensure that the project team has a common understanding of the issues at stake, coordinate the respective roles of various project participants, and communicate effectively with the Foundation.

Projects Eligible for Grant Support

Projects involving the preservation of a region's indigenous documents

  • Preserving indigenous documents on microfilm, in electronic form, or in another format.

Projects involving the utilization and transmission of a region's indigenous documents

  • Cataloging, transcribing, translating, annotating, and publishing facsimiles of documents.
  • Holding workshops or symposiums; using indigenous documents as educational material.
  • Sharing of preservation techniques and know-how, etc.

Please note

  • For projects concerned with preservation, it is desirable to establish cooperative arrangements with research-related institutions that can play a custodial role, such as libraries, museums, and universities.

To receive an Application Form by post

  • Send your request by postcard or fax to the Toyota Foundation (at the address/number below) no later than April 30, 2010. Please indicate (1) the name of the program (for example, "Request for Asian Neighbors Program Grants application form"), (2) whether you require the Japanese or the English version, and (3) the address to which the form should be sent.

  • Go to the Application Announcement page on the Toyota Foundation website (http://www.toyotafound.or.jp/english/) to fill out an application online. For more detailed instructions, see the guide on the website.

Applications submitted by mail

  • Applicants in Japan should send the application form by registered mail or another delivery service that leaves a record of delivery, such as a courier service.
  • Overseas applicants should use a courier service or EMS (Express Mail Service).

Other points to note to submit an application

Applications submitted via the Internet

  • Traffic on the Toyota Foundation website can be expected to intensify as the application deadline approaches, and this could hinder individual attempts to submit (upload) an application.
  • If you are unable to submit (upload) your application by the deadline, please submit it by mail.
  • Please follow all the instructions provided on the Toyota Foundation website when submitting your application.

  • Please submit only one copy of the application form. No additional documents should be included with an application.
  • Application forms will be photocopied during the selection process - please do not staple or paste anything to the form.
  • If you format your application by pasting print-outs onto the form, please make a copy of the complete form and send the copy.
  • Application forms must be printed on only one side of each page submitted; pages printed on both sides will not be accepted.
  • The "application number" space at the top right of the application form is for the Toyota Foundation use. We will mail you a postcard by early June to inform you of your application number.
  • Applications postmarked after Wednesday, May 12, 2010, will not be accepted.

After submitting an application

  • Applications cannot be replaced or updated once they are submitted.
  • Submitted applications will not be returned.
  • If any statement in an application is found to be untrue or misleading, the application may be rejected, and even if the project proposal has been approved, the grant may be cancelled.
  • The Toyota Foundation will not respond to questions about the reasons for its approval or rejection of project proposals.

PRIVACY NOTICE

The personal information you provide on the application form will be used by the Toyota Foundation for project selection, statistical analysis, and administrative activities, such as contacting applicants. This information will not be used for any other purpose without your consent, except in cases provided for by law.
